Best practices in transfer evaluation
March 19, 2024, was an exciting day for CollegeSource! Not only did we release uAchieve 5.1 to Cloud customers and institutions running uAchieve on-premises, but we also held the first session of Let’s Talk Transfer. This discussion series will take place over Zoom on the third Tuesday of every other month at 1 p.m. ET. It is a community space designed for posing transfer questions and sharing processes and is open to all transfer professionals regardless of whether they use CollegeSource products.
Almost 300 college and university staff from approximately 34 states (and one territory in Canada!) signed up to participate in Let’s Talk Transfer. It was wonderful to see such interest and engagement amongst the transfer community. We must apologize, however, to those who could not log in because of an unexpected capacity limit within Zoom. We were not aware there would be a restriction and have addressed the issue so everyone can attend in the future.

Topics of discussion
The meeting started with an introduction to the Let’s Talk Transfer series, its hosts (Sarah Hatfield and Tim Horzmann), and participants.
The Community College of the Air Force/Air University transcript
Before delving into best practices, Tim Horzmann shared that the Community College of the Air Force and Air University recently centralized their student information systems. Transcripts from both institutions will now be issued through Parchment and printed on Air University paper (Read more). Given this change, attendees shared how their institutions were handling the processing of Community College of the Air Force courses. Time was also spent discussing the difference between curriculum credit and earned credit on the transcript.
Best practices in transfer evaluation
The main topic of conversation was best practices in transfer evaluation. Attendees shared institutional policies, practices, and insights over both video and chat. Multiple issues were discussed, such as:

- How institutions structure their orientation programs to support transfer students better.
- The size of institution’s transfer credit teams; attendees reported teams ranging in size from 1-9 people, the most common being 2-3.
- How to use technology to balance workload.
- Empowering staff to make transfer evaluation decisions.
- Working with faculty to receive timely evaluations.
- Maintaining equivalencies.
